Quality documents and market documents answer different questions
Give Anna the exact document names your importer or buyer needs. Confirm the issuer, covered product, current version and availability for the selected formulation before relying on a document for shipment or market placement.
| Document topic | What to confirm |
|---|---|
| Batch / product information | Which batch identification, specification or analysis records are included. |
| Formula & label information | Ingredient, fragrance-allergen or other data requested for the intended product and destination. |
| Fragrance conformity information | Which intended use and use level the relevant fragrance information covers. |
| Safety / transport information | Which safety or transport records are applicable to the actual composition and route. |
| Facility certificates | The exact legal entity, site, scope, issuer and validity of any certificate requested. |
Pre-shipment inspection and issue reporting
If you require third-party inspection, discuss the access, timing, inspection standard, sampling plan and who arranges it before the order is confirmed. Do not treat an agreed visual inspection as a substitute for a separately required product assessment.
For a received-order issue, send the order reference, batch or carton identification, affected quantity and clear photos to Anna. Keep the relevant packaging and samples while the issue is reviewed. Investigation, corrective action and commercial resolution follow the agreed order terms.
Use a shared inspection checklist
The downloadable checklist provides fields for the approved references, fill and function checks, pack count, photos and open issues. Complete the acceptance criteria with the supplier for your order.
